Confidentiality Agreement and Booking Terms

CosmicXpress Secretarial Services will adhere to the following wording. If required we will sign and send you a copy of this for your records.

Confidentiality Agreement

The parties to this agreement are ‘CosmicXpress Secretarial Services’, whose office is situated at Cob Orchard, Willow Road, Wichenford, Worcestershire, WR6 6YB and 'The Client' whose registered office is situated at ........................... (Clients address).

CosmicXpress Secretarial Services confirms that:

• they will not divulge information howsoever learned about The Client's clients, The Client's associates or The Client's client's associates to the press or any party that may result in information being passed to the press in any country.
• they will not divulge information howsoever learned about clients, The Client's associates or The Client's client's associates to any other competitor of The Client, The Client's associates or The Client's client's associates or party likely to do so.
• they will take reasonable care of any information so obtained and held or transmitted by them on hard copy or digital format such that it is not readable in the public domain and will not end up in the public domain.
• any subcontractor used by CosmicXpress Secretarial Services to carry out work on behalf of The Client will be required to sign similar undertakings.

Booking Terms

A booking form or proposal / contract will be produced for each order and must be agreed and signed by the client before work can begin.

• Each and every amendment will be agreed with the client and added to the booking form as an addendum.
• The booking form will detail the terms and conditions of payment.
• All work originating from the client will be returned to the client.
• All work produced by CosmicXpress Secretarial Services will be retained on our system for 60 days or as agreed.
• Final proofreading is the responsibility of the client.
• Timescales for correcting work are detailed in the booking form.
• For one-off projects quoted over £50.00 a deposit of 25% will be required prior to commencement of work.
• Retainer – Monthly fees will be paid in advance.
• An initial quote will be given in writing by means of e-mail. Once accepted and work submitted a confirmed and sometimes revised quotation (depending on the work necessary and complexity thereof) will be issued together with the contract for signature before any work will commence.
• Any extra work will be charged at the agreed hourly rate.
• Any extra charges such as postage, telephone calls, non-standard materials etc will be charged at cost.
• CosmicXpress Secretarial Services has incoming e-mail Virus protection, but we will not open any attachments that we are not expecting.
• All out-going mails are virus checked and this is detailed within the e-mail.
• The scanning of all materials received from CosmicXpress Secretarial Services is the responsibility of the client.

Payment

Payment can be made by direct bank transfer, cheque or through PayPal. An invoice for full and final payment will be sent on completion and acceptance by the client. Full payment is due within fourteen (14) days of receipt of invoice.
